Admin Coordinator

Responsibilities/Duties
 
Provide administrative support to the Executive Vice President of Operations, VP of Mechanical, VP of Engineering and VP of Safety/Training.  
General duties include:
  • Telephone coverage; interact daily with the Operations department and BNSF executive/leadership team
  • Proactively manage the VP's calendar, handle meeting and travel arrangements (including BNSF jet), maintain department itineraries and appointment schedules
  • Review incoming VP mail/email for appropriate handling and follow-up on status and responses
  • Process expense reports and department invoices for payment
  • Complete special projects that include preparation of periodic reports, development of presentations with graphics, and record keeping that requires the knowledge of BNSF desktop software applications
  • Coordination with other executive leadership and admins on corporate events
  • Provide additional support to the department as needed
 
Basic Qualifications
 
  • A minimum of 3 years executive administration experience
  • Strong organization, customer service, analytical and interpersonal skills
  • Must have the ability to work well independently and in a team
  • Excellent written and oral communication skills
  • Must possess above average computer skills using the Microsoft Office Suite; i.e. PowerPoint, Access, Excel, Outlook and MS Word
  • Strong grammar and editing skills
  • Must be able to handle confidential matters discreetly and work effectively in a team environment with all levels of personnel including senior executives (internal and external)
  • Must be highly organized and be able to handle multiple tasks concurrently. Attention to detail and accuracy are critical.
