Description: The Scheduling Coordinator is responsible for compiling and maintaining the schedules for residents, patients and faculty for clinic services. This job promote a patient and family centered model of care by showing dignity and respect, information sharing, participation and partnering with the patients and families they serve. Typical Duties:
  1. Coordinates master rotation schedule with Academic Affairs Resident Coordinators.
  2. Keeps supervisor informed of resident and doctor scheduling issues.
  3. Defines duration (units of time) for all activity types per each clinic’s Medical Director.
  4. Creates standard templates for all Clinic Service Resources (time of first and last appointment, number of patients to be scheduled per resource, days of operation; add schedule period and activate schedule).
  5. Provides maintenance of existing resources and templates (standard and/or daily).
  6. Provides next available resource appointments weekly to Practice Manager.
  7. Resolves scheduling issues with supervisor and academic affairs department, department heads, physicians, and other hospital staff.
  8. Works clinic schedules cancellation and adjustment request forms: cancelling, rescheduling and notifying patients of appointments.
  9. Trains clinic staff on scheduling template usage.
  10. Answers telephones, greet and direct patients/visitors to appropriate areas provide information regarding services, and other assistance as needed and maintain supplies and forms necessary to perform duties.
  11. Ensures patient confidentiality requirements are met in accordance with established policies and procedures.
  12. Exhibits and demonstrates a high quality of Service Excellence and positive customer service and telephone etiquette by treating all customers with dignity and respect utilizing age specific skills and knowledge.
  13. Performs other job related duties as assigned.
